2017 Year in Review and Holiday Message

Accounting & Financial Services

Contracts and Grants Accounting began implementing a paperless award management process, already reducing the printing/copying of over 15,000 documents per month.
Tax Reporting and Compliance partnered with Controls and Accountability to implement a new sales tax collection/recording process for Aggie Surplus and Dining Services, creating efficiencies for all involved in the process.
Accounting and Financial Reporting partnered with Admin IT to staff the Financial Information System (FIS) Help Desk during one of the critical fiscal close weekends to allow for timely resolution of issues during this busy time.

Campus Planning & Enviro Stewardship

Launched multi-year project to maintain and enhance the largest component of our campus's stormwater and recycled water system – the Arboretum Waterway.
Reached first-in-the-world ranking for campus sustainability practices by the University of Indonesia’s GreenMetric World University Ranking.
Earned American Planning Association award for our comprehensive Long Range Development Plan community outreach efforts.
Earned second designation as a League of American Bicyclists as Platinum Bicycle Friendly University.
Attained four-out-of-four star ranking by the Professional Grounds Management Society for our environmentally and financially sustainable landscape management practices.

FOA Services

Finalized consolidation of centralized resources to include Communications, HR, Budget and Finance and Admin IT.

Prepared for a Customer Service Survey launch to measure effectiveness of our services provided.

Established a new Office of Strategic Solutions to implement new revenue or cost-saving initiatives.

Police Department

Graduated 18 students through the Cadet Academy, which prepares UC Davis graduates to become the next generation of UC Davis Police Officers. UC Davis Police currently employs nine alums in the department.

Provided over 41,000 Safe Rides to UC Davis students. The new TapRide app lets those with concerns about traveling campus at night request a free Safe Ride even easier.

Partnered with Facilities Management on the annual exterior lighting safety walk, inviting the campus community to help identify areas where lighting could be improved and to inform the locations of newly approved emergency call boxes.

Safety Services

Graduated the first Campus Emergency Response Team, comprised of students and staff who serve as ambassadors for emergency preparedness across campus and are on standby to volunteer during emergency events. 

UC Risk and Safety Solutions won numerous awards. The organization also celebrated its first commercial clients that include a children’s hospital and other in-state and out-of-state universities.

Helped Researchers Do Research by launching a program where students inspect fire extinguishers, emergency eyewashes and safety showers so lab professionals can focus on research. And a new Field Safety program provides researchers with first-aid training and communication equipment to prepare them wherever their research takes them.

Administrative IT

Launched AggieDocs, a content services platform with content and document management capabilities. As part of initial onboarding, UC Davis Health Accounts Payable leveraged forms and reporting to gain visibility and implement business process improvements. Similarly, Central HR and Shared Services Center benefited from digital integration of established business processes, avoiding management of physical documents.

Piloted UC Davis DocuSign, an electronic signature service, with Real Estate Services and Safety Services, resulting in streamlined processes for lease agreements and fully automated compliance processes for the Injury and Illness Prevention Program.

Launched Aggie Desktop, an academic and administrative partnership to re-engineer workstation imaging, deployment, patching and management as a shared enterprise service for the campus. In addition, Administrative IT deployed consolidated VPN and remote access solutions to support telecommuting and other remote work, replacing redundant departmental legacy solutions.

Design & Construction Management

Finished construction on $215M of projects and advanced another $725M of projects into the planning, design and construction phases.
Completed projects include 2017 Classroom Renovations, Tercero Student Housing 4, the Memorial Union Renovation, the Vet Med Student Services and Administrative Center, and the Silo South.
Launched projects include the California Lecture Hall,Tercero Dining Commons 2, Webster Hall, Emerson Hall, and the Teaching and Learning Center.

Fire Department

Continues to deploy strike teams to a number of major fires across California. Often gone for up to 14 days at a time, they represent Aggie values far from campus during fire victim’s time of greatest need.
Became the Regional Training Center for the American Heart Association. More than 200 UC Davis students and staff have been CPR certified since July.
Started a new Student EMT program. Participants act as emergency responders at campus events and gives them experience as health educators.

Preferred Partnership Program

Positioned the program with new leadership, communications, and campus engagement. UP3 is now identifying partnership opportunities through its first industry workgroup, focused on automotive and rideshare. 

Shared Services Center

Received the Chancellor’s Achievement Award for Diversity and Community.

Three SSC leaders were recognized as Worklife Champions.

Increased customer satisfaction as a whole (as measured by our quarterly surveys) from 2016 to 2017.

Budget & Institutional Analysis

Received a Team Citation of Excellence for providing exemplary service to support student and faculty success.
Worked with Admin IT and other campus partners to develop the  AggieBudget planning tool. This effort included identifying key system requirements, launching pilot use, and initial training with FOA and six other campus units. Full rollout of AggieBudget is expected in 2018.

Facilities Management

Equipped the university a more secure and sustainable, water source by facilitating the addition of high quality, Sacramento River water to our campus supply.

Generated significant financial savings through community participation in our energy saving programs and partnerships and achieved international recognition for our “green” building practices.

Partnered with UCOP to develop ICAMP – a program for proactively tracking and managing campus assets – and launched the training for its use system-wide.

Renovated nearly 80 offices with the launch of the Office Refresh Program, swapped 1800 restroom fixtures with low flow replacements to reduce water use and completed a number of complex deferred maintenance jobs to support university research.

Launched a user group to improve customers’ ability to track service requests from beginning to end in TRIRIGA, our work order system.

Human Resources

Rolled out a university-wide Change Management methodology, with Organizational Excellence offering training to individuals and teams to better support UC Davis in becoming an agile, change-ready organization.

Moved 6,100+ non-represented staff into the new UC-wide Career Tracks classification system. HR Compensation's effort will allow position descriptions to be prepared quicker and employees to better identify development paths.

Recognized by the World at Work organization, for the fifth year running for our benefits that go beyond salary and because of the initiatives led by our Worklife and Wellness team that enable employees to better integrate their careers with their personal lives.

Real Estate Services

In partnership with both Student Housing and Dining Services, and Campus Planning and Environmental Stewardship, commenced the most ambitious student-housing program in the history of UC Davis with the selection of and negotiation with a developer for both the Orchard Park Apartment Redevelopment and the West Village Transfer Student Housing projects.
Delivered of over $5M worth of tenant improvements in off-campus leased space.
Negotiated more than 40 leases and subleases, processed 6 airport permits, 22 licenses, 5 research use agreements and more than 50 amendments.

Supply Chain Management

The university successfully promoted Food Drives at the Davis and Sacramento campuses, which contributed 4.2 tons of food donations to the Yolo County and Sacramento County Food Banks. We are “striving to make the university better every day” by directly impacting the communities where we work.
The Administrative Computer Bulk Purchase Project received the “Focus on Efficiency” Award at the California Higher Education Systems Conference. The benefits of the project include lower cost to procure, faster computer deployment to employees, reduced cyber security threat, and more predictable budgeting for computers.
Surpassed $200 million in annual spend with our banking card programs, a UC system-wide first. The growth came from a strategy of education and collaboration with our clients. This year, we expect our efforts to generate incentives of $4 million for UC Davis.
